August 16, 2016 – Business Meeting

Officer’s Reports:

Seneschal (The Honorable Lady Genevieve de Saint-Malo):

The Seneschal passed around the attendance sheets and opened up the floor for the officer reports.

Exchequer (Lydia Wynne):

The Exchequer reported that we have balance in the Shire Treasury of $2,065.33, and that the quarterly report has been sent out.  Additionally, she noted that the monthly reports had been completed.

Herald (Lady Katherine Coscombe):

Lady Katherine noted that several names and devices had been submitted to the Society for approval.  It was noted that the device for Lydia Wynne had been approved.  For the benefit of the new people and visitors, she provided a brief background on the heraldry process.  She noted that submissions may take a little longer to approve as normal as there were numerous submissions from Pennsic to the Society.  It was noted that there had been a very slight discrepancy for the submission of the Shire device, and it was being corrected.  Lady Katherine also noted that the Herald’s report had been submitted.

Chatelain (Lady Katherine Coscombe):

Lady Katherine welcomed five new people to our group.  They were introduced as Mona, Ed, Brian, Mike and Rachel.    It was explained why we were having our August Business Meeting and Quarterly Revel at this time (due to Pennsic.)  The regular business meeting schedule will resume with September’s meeting being on September 6th, but will be in the Library, as will all of our meetings for the next several meetings (reason explained in Saxon Summer section later in these minutes.)  Additionally, Lady Katherine mentioned that there had been a change for the Society Chatelain – it had been moved to becoming a “Great Office.”  This basically means that the office of the Chatelain has been given increased recognition as a main area of SCA, the same as the Herald and other offices.  The Society Chatelain is now equal in stature as the others, where previously it was not.

Mistress of Arts & Sciences (Lady Beatrix Beeman): Lady Beatrix noted that the last report had been submitted on time.  She spoke about our local Shire A & S competition, and that this one would be decided by a populace vote.  Full documentation will not be required, however an index card with a little bit of background information on it is needed.  More details, including when it will be held and the possibility of a prize, will be forthcoming.  This was originally planned for Saxon Summer, but will be changed (see Saxon Summer notes below – at this time no info on when it will be).

Chronicler (Lady Áine ingen Uí Briain):

Lady Áine had nothing to report.

Archery Lieutenant (Lord Frøkn mac Cainnaig):  Lord Frøkn is looking into the possibility of having a Shire archery competition.  More information will be forthcoming.

Web Minister (Lord Hakon Hrafnsson): Lord Hakon has been busy keeping our new and improved website up to date.  You may access it at www.rivenvale.org  Check the calendar for meeting topics and also note that event details are posted to update events as they become available. Suggestions for content and/or improvements are always welcomed.

Demo Coordinator (The Honorable Lord Rickard de Als):

THL Rickard noted that the final profit for the church on the Medieval Faire was approximately $200.  He again thanked everyone who participated.  THL Rickard noted that suggestions for next year’s fair are always welcomed.

As we have previously learned, THL Rickard has been working on Knights Marshall for Heavy Combat activities, including heavy combat fighting, which he attends on Thursday nights in Talmadge with Brendoken.  Anyone interested in participating please contact THL Rickard for more details.

Meeting News:

Our schedule was set for October.  View the new Google calendar on our website for all the details.  Please note that if the subject matter set for a meeting is not something someone is specifically interested, all are allowed to bring personal projects to work on.

Events:

Saxon Summer, September 10 & 11:

As noted previously in these minutes, we met in the library of the church and will continue to do so for the next several weeks.  The church has undertaken a new construction/roofing project in the Great Hall area, and as a result we will not be back in there for our meetings and activities for a while.  The Great Hall would be unavailable during Saxon Summer, and we have activities in there, not to mention feast, dancing and an alternative area in case of rain.  A discussion ensued amongst the meeting attendees and it was decided to forgo having Saxon Summer this year as we would not be able to provide the quality event that we are known for.  We plan to definitely have Saxon Summer as usual in 2017.  A few of the events originally slated for Saxon Summer will be moved to our next couple of events, Fall Bransle and Winter Wassail.  (Please review the next sections for clarification.)

Fall Bransle, Saturday November 5th:

The venue for our event has changed this year to Firestone Park in Columbiana.  It will be a one day event with no camping, and the focus is on leisure activities.   There will also be a Bardic competition for our Shire.  The winner will represent our Shire at the North Oaken War Maneuvers competition. There will also be a Shire Rummage Sale, A & S activities (stations), feast and more.  Please refer the event page at http://rivenvale.org/activities/fall-bransle/

Winter Wassail, Saturday January 14, 2017:

Details will be posted to http://rivenvale.org/activities/winter-wassail/ In Closing:

If there are any corrections and/or additions that need to be recorded in the official Shire minutes, please contact Lady Áine.

Please note that these minutes will be linked on our shire website.

Respectfully submitted in service,
Lady Áine ingen Uí Briain

July 5, 2016 Business Meeting

Officer’s Reports:

Seneschal (The Honorable Lady Genevieve de Saint-Malo):

The Seneschal informed us that we now have pre-printed attendance sheets with our Society names on it. It will continue to be sent around at each business meeting.  If the person does not see their name on it, please write it in.

Another note of interest is that we are still seeking registered members to volunteer for several vacant officer positions.  A vacancy exists for Youth Minister, and various deputy positions also, including Deputy Chronicler, Web Minister, and Archery Lieutenant.  If anyone wishes to qualify for Archery Lieutenant, and is going to Pennsic Wars, that would be the perfect opportunity to get their training/qualification completed.

Exchequer (Lydia Wynne):

The Exchequer reported that we had a balance in the Shire Treasury of $2, 071.33, and that money has been put down for Fall Bransle.  The reports and statements are up-to-date.

Herald (Lady Katherine Coscombe):

Lady Katherine was unable to attend the meeting.    The Deputy Herald, Lord Hakon, noted that the devices for Lord Frøkn and Lady Áine were at the level of the Kingdom Dragon Herald.

Web Minister (Lord Hakon Hrafnsson):

Lord Hakon announced that he was creating a Heraldry resources page on the website, with many links to assist people with selecting names, devices, etc.   (There was later discussion at the meeting in regards to an “Active Member” listing on the website.  See the discussion section later in these minutes.) It is recommended that all people get into our email group, to get the news and official information on happenings in the Shire.  If you need assistance in signing up to receive the emails, contact Lord Hakon for assistance.

Chatelain (Lady Katherine Coscombe):

Lady Katherine was unable to attend the meeting.  It was noted, however, that approximately 6 people have visited us since the Mid-Summer Knight’s Medieval Faire held on June 18 & 19.  We are always welcoming of new people, everyone is welcome at any of our events or meetings. If interested in learning more about our shire and activities, contact Lady Katherine for more information (catnik@gmail.com).

Mistress of Arts & Sciences (Lady Beatrix Beeman):

Lady Beatrix stated that it has been a very busy quarter, as many people have been working on their personal A & S projects.  The demos that were held at the Faire were done very well, and a big “thank you” goes out to all of the demonstrators.  There will be a listing of A & S projects published in the upcoming Rivenvale Review.

Archery Lieutenant (Lord Frøkn mac Cainnaig):

Lord Frøkn was unable to attend the meeting.

Thrown Weapons Lieutenant (The Honorable Lord Rickard de Als):

THL Rickard talked about the thrown weapons practice that was held at our Tuesday night meeting on June 28th, and about 12 people participated.  There was an informal tournament held which was won by Lord Hakon.  There will be more throwing scheduled for July, hopefully we will have 4 targets so there will be more throwing time per person.

Chronicler (Lady Áine ingen Uí Briain):

Lady Áine stated that she was busy working on the upcoming issue of the Rivenvale Review.  She is still looking for a Deputy Chronicler.

Demo Coordinator (The Honorable Lord Rickard de Als):

THL Richard thanked everyone who participated in the Mid-Summer Knight’s Medieval Faire.  The demo went very smoothly and everyone did a wonderful job – not just participating in the demo but also assisting with set-up and tear down also.  He did not have news yet on how successful the event was for the Church yet, but they were very pleased with us and made a $250.00 donation to the Shire.

THL Rickard noted that if anyone has any ideas for possible future demos in addition to Medieval Faire (such as festivals, parades, etc), to email him with ideas and suggestions.

As we have previously learned, THL Rickard has been working on Knights Marshall for Heavy Combat activities, including heavy combat fighting, which he attends on Thursday nights in Akron.  If anyone is interested in joining with him on this, email him for more info.

Meeting News:

Our schedule was set for September.  View the new Google calendar on our website for all the details.  Please note that if the subject matter set for a meeting is not something someone is specifically interested, all are allowed to bring personal projects to work on.

Please note that there will NOT be meetings on August 2nd & 9th due to Pennsic.  Out August business meeting will be held on August 16th

Upcoming Events:

Saxon Summer, September 10 & 1:

The feast menu has not been finalized yet.  We are anticipating an event similar to last year, including the A & S competition (populace vote).  New this year will be an Archery Tournament.  More details to come.

Fall Bransle, November 5th:

The venue for our event has changed this year to Firestone Park in Columbiana.  It will be a one day event with no camping, and the focus is on leisure activities.  Since it is a dry site the annual Beer/Mead exchange has been moved to Saxon Summer.  There will also be Bardic time, with our Shire’s Bardic competition.  The winner will represent our Shire at the North Oaken War Maneuvers competition. More details to come.

As always, our most current information on events is listed on the Shire website under “Events & Activities.”

Discussion:

Discussion centered around the “Order of Precedence” page on our website.  It was noted that several of the people listed on there had not been seen at Shire meetings or events in quite some time.  After much discussion, it was decided that we would have an “active members” and “inactive members” section on the webpage, in the “Awards” section.  The criteria determining between which category someone belonged on is summed up as those that we have or have not seen at any events or meetings in a “year-and-a-day.”  After reviewing the listings on the webpage, if you note any errors regarding yourself, please email Lord Hakon.

In Closing:

If there are any corrections and/or additions that need to be recorded in the official Shire minutes, please contact Lady Áine.

Please note that these minutes will be linked on our shire website.

Respectfully submitted in service,
Lady Áine ingen Uí Briain

Herald (Lady Katherine Coscombe):

Lady Katherine announced that at Northern Oaken War Maneuvers, Lord Hakon Hrafnsson was presented with the Companion to the Order of the Willow.  His extensive work that he has been doing with dance, both the leading and teaching of dances, and also his design of new dances in a period feel & style, was what earned him this award.  Hearty congratulations to Lord Hakon!

May Business Meeting, 5/3/16

Officer’s Reports:

Seneschal (The Honorable Lady Genevieve de Saint-Malo):

The Seneschal let us know that the Kingdom Seneschal had communicated that we are to abstain from using the word “mundane” when referring to modern-day things.  There is an effort to change some of the wording around to impart the same meaning with a different method of delivery.  For example, when at events we call the extra $5.00 surcharge for those not registered in the SCA a “non-member surcharge,” we could now give the total amount with the $5.00 added on, and for registered SCA members, call their cost (minus the $5.00) as an “SCA Member Discount.”  Same end result, but actually sounds better, and not so much that people are being penalized for not being a member. THL Genevieve also announced that The Honorable Lord Rickard de Als, our Thrown Weapons Lieutenant and Demo Coordinator, has been appointed to the post of Regional Seneschal for our region, Northern Oaken.  The Seneschal noted that the recording of the minutes of the monthly Business Meeting were to resume, and asked for volunteers to assist the Chronicler in this task as needed.  She also noted that the attendance list was being passed for signature by all present.

Exchequer (Lydia Wynne):

The Exchequer reported that things were going well, as we currently had a balance in our Treasury of $2,048.56.  There was a loss of $40.00 reported on the Spring Training Feast, due to lack of registrations

Herald (Lord Frøkn mac Cainnaig):

Lord Frøkn mentioned that there was nothing new to report, although there are several devices up for approval.  OSCAR is being watched.  Lord Hakon Hrafnsson added to the report that there has been a conflict noted for our Shire’s crest.  He explained that the best way to get our crest approved would be to drop the two stars on the top of the device and just go with the Laurel wreath.  A motion was passed to that extent which was unanimously approved vocally by all present.  A written approval sheet was placed and all were asked to sign it to submit as a request to change the device in that manner.

Web Minister (Lord Hakon Hrafnsson):

Lord Hakon noted there were several changes to our Shire’s website.  He put out a Shire-wide email today (May 3rd) to detail those changes.  For the convenience of the record, here is his post in its entirety (copied from the email):

We have made some changes on the shire’s website. Everything relating to meetings, activities, and pretty much any scheduled anything is now under the “Events & Activities” tab, where we also have a Google Calendar embedded. All of our meeting details are on the calendar for each week. Just click on the meeting or event to find out more about it. We also have easy links to maps for directions, links to event websites, etc. Overall, this will make our meetings info easier to maintain, will allow us to see past activities on the calendar, which have been lost up to now, and will help coordinate everything that’s scheduled, including events in neighboring groups. Please take a look as you have time.

Chatelain (Lady Katherine Coscombe):

We are always welcoming of new people, everyone is welcome at any of our events or meetings.  If interested in learning more about our shire and activities, contact Lady Katherine for more information (catnik@gmail.com).

Thrown Weapons Lieutenant (The Honorable Lord Rickard de Als):

THL Rickard noted that at our next meeting on May 10th we will be having thrown weapons.

Archery Lieutenant (Lord Frøkn mac Cainnaig):

We will be having Archery at Saxon Summer.  Lord Frøkn is still trying to contact Lord Greybar to see about visiting his archery shop.  More info to follow on this.  Also, Lord Frøkn noted that at our May 31st meeting, Archery is on the agenda.

Minister of Arts & Sciences (Lady Beatrix Beeman):

There was nothing specific to pass on, but please see our event page for our upcoming Saxon Summer event Sep 10 – 11th.  On Saturday, September 10th, our Shire’s Annual A & S Competition will be held.  It is open to all.  Documentation is a plus but not required. Competition is by populace vote, and results will be announced at feast.  More information will be promulgated as we get closer, or watch the Saxon Summer event page on our website.

Chronicler (Lady Áine ingen Uí Briain):

The next issue of “The Rivenvale Review” shall be published during the first week of July.  Lady Áine is always accepting any and all submissions, writings, pictures, poems, stories to include in the next issue.  Lady Áine noted that she is currently accepting volunteers for a Deputy Chronicler.

Event Updates:

The next event we are focusing on at this time is the demo we are providing at the Mid-Summer Knight’s Medieval Faire June 18th and 19th.  Our Demo Coordinator, The Honorable Lord Rickard de Als, is busy assembling the schedule for the event.  He is always welcoming of more volunteers to help out and participate.  Of note, our Shire in the past has provided a “Guard Escort” and participates in the parade.  He is specifically looking for people to sign up for those positions.  There was some discussion about what events we are helping with and/or hosting, and the camping.  For more details, please refer to our website.  More details will be posted as we get closer to the date.  It was also noted that there is a Facebook Event listed for the Faire.

Other Upcoming:

Our schedule was set for July.  View the new Google calendar on our website.  A reminder that even if the subject matter is not something someone is specifically interested, all are allowed to bring personal projects to work on.

Next month’s business meeting will be on Tuesday, June 7th.

In Closing:

If there are any corrections and/or additions that need to be recorded in the official Shire minutes, please contact Lady Áine.

Please note that these minutes will be linked on our shire website.

Respectfully submitted in service,
Lady Áine ingen Uí Briain
